Case study · City of London Corporation

14 years of utility history rebuilt in 10 weeks

The City of London Corporation partnered with Etainabl for utility invoice validation and reporting. We rebuilt its utility history back to 2012 from six sources: the old bureau export, supplier portals, EDI files, 46 password-protected PPA workbooks and spreadsheets. Every delivery was reconciled to the supplier's totals to the penny, and the current £18.0m of electricity and gas invoices matched exactly.

After a lengthy procurement process, I'm pleased to announce the City will be partnering with Etainabl to support us with utility invoice validation and reporting.

Fixed the errors in the historical data

1,234 legacy credit notes had reversed the cost but not the kWh, overstating consumption by about 40 GWh. 4,124 group bills had every meter's cost on a single meter, so these were split into 8,828 per-meter invoices.

Found money in the first accrual run

The first monthly run accrued £2.40m across 729 accounts. It found 16 Barbican Estate supplies that hadn't been billed since May and flagged 65 accounts with no invoices at all. Bill validation also caught a duplicate water bill, CCL charged on exempt meters and a water retail overcharge.

Got payments under control

Around 700 validated invoices a month now reach the City's Accounts Payable file within three days of receipt. Before this, late payment exposure had been estimated at about £40k a month. Accruals now run monthly rather than once a year.

A carbon baseline they can trust

About 210 GWh of solar PPA generation, 791k half-hourly heat and chilled water readings and the Citigen district energy contracts were brought in. The 2027 net zero target is now measured against a real baseline.

Bill validation

Every bill checked before you pay it

Invoices are fetched from supplier portals, read by AI and checked 40+ ways against your contract, meter and half-hourly data. Only the exceptions need you.

Step 1

Fetched by the agent

An Etainabl agent signs into the supplier portal over a secure session and collects the new invoice. 20+ UK portals, checked twice a day.

Step 2

Straight into the platform

The bill lands in your validation queue and is read by AI in about two minutes. Any format, no templates.

Step 3

Checked 40+ ways

Every rule runs against the document itself: account match, read continuity, consumption versus half-hourly data.

Step 4

The verdict, with evidence

One check fails: the billed rate doesn't match your contract. The proof is highlighted on the bill itself.

Step 5

Only exceptions need you

Back in the queue, one bill needs a human: one reason, £220.24 to recover.

More customer stories

Trusted across commercial property

From a single landmark building to a portfolio of hundreds of sites, here's how property teams use Etainabl.

Dorrington · The Crane Building

A complete dataset to plan the route to net zero

Fragmented utility and waste data made it impossible to see how The Crane Building was really performing. Etainabl fitted IoT devices to the gas and water meters, secured half-hourly tenant electricity data, automated waste reporting and brought in the landlord electricity and solar PV feeds. Dorrington now has a complete, high-quality dataset, better tenant engagement and a model it can roll out across its wider portfolio.

Shaftesbury Capital

One source of truth for 430+ sites

With ESG data spread across systems, property managers and tenants, Shaftesbury chose Etainabl as its central data platform for 430+ sites and 2,300+ meters. Gridfetch integration unlocked tenant utility data for accurate Scope 3 reporting, multi-layer validation made the numbers audit-ready, and less manual admin freed the team to focus on strategy.
